Information we use

The information involved depends on how you contact us and which services you use. It can include:

  • Contact information: your name, telephone number, email address and the contents of messages you send us.
  • Service information: appointment enquiries, service preferences and records of services or passes managed by the salon.
  • Transaction information: records needed to administer purchases, payments, refunds and accounting, where the salon handles them.
  • Technical information: IP address, browser and device information, requested pages and access times recorded in connection with website operation and security.
  • Privacy preferences: records of permissions and choices you give us, including cookie choices where a consent mechanism is used.

We receive information directly from you when you contact or visit us. Technical information may be recorded automatically when you access the website. If someone contacts us on your behalf, we may receive the details needed to deal with that enquiry.

Why we use information

We use personal information only where we have an appropriate lawful basis under UK data protection law.

  • Enquiries and service arrangements: to respond to requests and take steps towards, or perform, a contract with you. General enquiries may also be handled on the basis of our legitimate interest in running the salon and assisting customers.
  • Administration and security: our legitimate interests in maintaining the website, keeping appropriate business records, preventing misuse and resolving complaints, balanced against your rights.
  • Legal obligations: to meet applicable accounting, tax and other legal requirements.
  • Consent: where required for optional technologies, particular marketing communications or publication of identifiable client photographs.

If information is necessary to arrange or provide a service, we will explain this when requesting it. Without the relevant details, we may be unable to complete your request.

Independent specialists at the salon

Magdalena Aesthetics & Beauty and other independent specialists renting rooms at Anna Beauty Salon manage their own client relationships, bookings and treatment records.

Where a specialist independently decides how your information is used, that specialist is a separate data controller. A listing on our website does not make their client records part of the salon’s records.

When you contact a specialist using their own phone number, WhatsApp account or social media profile, your enquiry goes to that specialist. Ask them for their privacy information, including how they handle consultation records, treatment photographs and health information.

If you ask the salon to pass an enquiry to a specialist, we will share the relevant details needed for that request. Questions about records held by the specialist should normally be directed to them.

Health information and consultation records

Health information receives additional protection under UK data protection law. Please do not include detailed medical information in general website, email or social media enquiries unless it has specifically been requested through an appropriate process.

Where the salon itself needs health or suitability information for a service, you should receive service-specific privacy information explaining the purpose, lawful basis, additional condition for using health data and retention arrangements at the point of collection.

This website notice does not replace the consultation and privacy information supplied by your treatment provider.

Photographs and marketing

Permission to receive a treatment is separate from permission to publish identifiable photographs. Where we seek consent to use client images for promotional purposes, we will explain the intended use.

You can contact us to withdraw consent for future use of images that we publish on the basis of consent. Withdrawal does not affect the lawfulness of earlier use. We cannot control copies already made or independently shared by others.

Where we send direct marketing, we will follow the applicable consent and electronic marketing rules and provide a way to opt out. You can also ask us to stop marketing by emailing us.

Who information may be shared with

Where needed for the purposes described in this notice, information may be handled by:

  • Authorised salon personnel and service providers supporting website hosting, email, maintenance, security and backups.
  • Payment providers and professional advisers, where relevant to a transaction or business matter.
  • An independent specialist where you ask us to refer or pass on an enquiry.
  • Authorities, insurers or legal advisers where disclosure is required by law or necessary in connection with a claim.

Access should be limited to what is necessary for the relevant task. We do not sell client contact lists.

Website features and external platforms

The website uses WordPress and Elementor and includes contact buttons provided through Buttonizer. A contact button may open a telephone application or an external messaging or social media service.

The website also includes Google Maps functionality and links to platforms such as Facebook, Instagram and WhatsApp. Loading embedded third-party content can disclose technical information, including your IP address, to the provider.

When you follow an external link or use an external platform, its own privacy terms also apply. The presence of a link alone does not mean that we receive your activity on that platform.

Details of cookies and similar technologies are provided in our Cookie Policy.

International processing

Some technology providers may process information outside the United Kingdom. Where we arrange a restricted international transfer, an appropriate transfer mechanism is required, such as applicable UK adequacy regulations or approved contractual safeguards.

Contact us for information about safeguards relevant to your data. External platforms also explain their international processing in their own privacy notices.

How long information is kept

Retention depends on the purpose of the record. We consider whether an enquiry remains active, whether a service relationship continues, applicable legal record-keeping requirements, and whether information is needed to resolve a complaint or claim.

  • Enquiries and correspondence are kept for the period needed to deal with the request and relevant follow-up.
  • Service and transaction records are retained according to applicable business, legal and claims-related requirements.
  • Technical logs and backups follow the operational retention arrangements of the relevant systems.
  • Consent records may be retained as necessary to demonstrate and honour your choices.

Records should be deleted or anonymised when no longer needed. You may request further details about the retention arrangements for a particular record. Independent specialists set and explain retention periods for their own records.

Keeping information secure

Appropriate technical and organisational measures should protect personal information against unauthorised access, loss and misuse. No website, email service or internet transmission can be guaranteed completely secure.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • Request access to your personal information.
  • Ask us to correct inaccurate or incomplete information.
  • Request deletion or restriction of processing.
  • Object to processing based on legitimate interests and object to direct marketing at any time.
  • Receive certain information in a portable format where the right to data portability applies.
  • Withdraw consent where processing relies on consent, without affecting earlier lawful processing.

These rights are subject to applicable conditions and exemptions. We may need information to verify your identity. We normally respond within one month, subject to any lawful extension or adjustment.
